
JOB DESCRIPTION – Marketing & Sales
TITLE: Administrative Assistant
SUPERVISOR: Vice-President of Market Strategy & Planning
DESCRIPTION: To proactively coordinate administrative duties, assist President,
Vice President of Sales, Vice President of Market Strategy and Planning.
This position will include assisting all inside sales personnel and supporting
customer service needs to a worldwide marketplace. Spanish speaking capabilities
would be beneficial to support customers.
OBJECTIVE: Provide professional administrative support to corporate staff
in addition to Sales and Marketing sectors. Must multi-task and balance
priorities in a team environment and maintain confidentiality of business
matters.
DUTIES:
- Routinely complete internal and external (customer and vendor)
correspondence
- Produce and distribute the daily Gazette
- US and International Shipping
documentation and support processing.
- Literature Mailings
- General Filing (Orders, routing, faxes, magazines)
- Weekly Sales Goals
Report
- Weekly Sales Forecast Report
- Update end user/dealer list and mailers
- Month End Reports (Bin Gates,
Marketing, Ad Inquiries, Sales etc.)
- Coordinate all sales tradeshows including
files as directed by VP Market Strategy and Planning
- Maintain product
literature and tradeshow collateral inventories
- Assist staff and sales
department in coordinating trips (airlines, hotels, rental cars)
- Keep
sales trip calendar up to date.
- Overall administrative support to the
sales personnel.
- Maintain President and VPs calendars in Outlook and coordinate
travel arrangements as needed
- Assist in Meeting coordination and support
- Assist in administrative
needs to support Advertising efforts

EDUCATION & EXPERIENCE:
Proven administrative/customer service skills and experience. College
degree or certificate a plus.
